Care After School, Inc. (“CAS,” “we,” “us,” or “our”) is committed to protecting the privacy and security of the families we serve. This Privacy Policy explains what information we collect, how we use it, how we share and protect it, and the choices you have. It applies to information we collect through our website, our communications, and our third-party platforms used to support our programs—most notably Brightwheel for registration, enrollment, and tuition collection.

Information We Collect

We collect information necessary to operate our programs, ensure child safety, and comply with state and local requirements, including:
• Parent/Guardian information: names, contact details, addresses, emergency contacts.
• Child information: name, date of birth or grade level, enrollment details, attendance records, and authorized pickup persons.
• Health and safety information: allergies, medical conditions, medications, and accommodation needs when provided by a parent or guardian.
• Billing and payment information, which is processed securely through Brightwheel and its payment processors.

How We Use Your Information

We use personal information to:
• Register and enroll children in our programs;
• Manage attendance, schedules, and daily operations;
• Communicate with parents and guardians regarding programming, safety, and billing;
• Process tuition and fees;
• Meet legal, licensing, and regulatory obligations; and

How We Share Information

Care After School, Inc. does not sell personal information. We share information only as necessary, including:
• Brightwheel, which we use for registration, enrollment, attendance, family communications, and tuition management. Brightwheel’s Privacy Policy is available at: https://mybrightwheel.com/privacy/
• Payment processors used through Brightwheel to securely handle tuition payments;
• Individuals authorized by parents or guardians for pickup or emergency contact; and
• Governmental or regulatory authorities when required by law or for licensing, health, or safety purposes.

Payments

All tuition and fees are processed through Brightwheel and its designated payment processors. Care After School, Inc. does not store full credit card or bank account numbers on its own systems.

Ohio-Specific Privacy and Child Protection Disclosures

Care After School, Inc. operates programs in the State of Ohio and complies with applicable Ohio laws and regulations governing child care programs, student records, and child safety.

• Ohio Child Care Licensing: We collect and maintain certain records as required by the Ohio Department of Children and Youth (DCY) and other licensing or oversight agencies. These records may include enrollment forms, attendance records, health and immunization information, and incident or injury reports.

• Mandatory Reporting: Under Ohio law, child care professionals are mandatory reporters. Information may be disclosed to appropriate authorities if we reasonably suspect abuse, neglect, or a risk to a child’s health or safety.

• Student and Child Records: Information related to program participation is used solely for educational, supervisory, safety, and administrative purposes and is not disclosed except as permitted by law or authorized by a parent or guardian.

• Data Security Obligations: We implement reasonable administrative, technical, and physical safeguards to protect personal information consistent with Ohio data protection and breach notification requirements. In the event of a data breach involving personal information, affected individuals and authorities will be notified as required by Ohio law.

We take reasonable steps to protect personal information from unauthorized access, disclosure, or misuse. We retain personal information only for as long as necessary to fulfill program operations, comply with legal obligations, resolve disputes, and enforce agreements.
